Privacy Policy

 

This Privacy Policy explains how SOPX (“SOPX,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use the SOPX app (iOS/iPadOS/macOS/visionOS).


Account

What we collect

Sign in with Apple details: Name and email you provide via Sign in with Apple only. You can choose any display name and decide to hide your email. We do not receive your Apple ID login or password or other Apple profile data. To delete this information, see “Delete your account” in Your rights & choices.

Retention & deletion

In app: Delete Account permanently deletes your SOPX account, including your name and email that you provided, organization membership, subscription entitlements. When you delete your account, we immediately and irreversibly delete all personal information and content from our active systems and do not retain backups, archives, logs, or de-identified copies.
 

Prompts & AI Answers

We do not retain your prompts or the AI’s answers. They are used only to generate the response and are not written to our databases or analytics. They are not used for training an AI. We do not share them with anyone.


Organization

What we collect

• Organization name you provide when creating an organization in the app, or the organization you join (its name and internal ID).

• Your role (admin/uploader)

• When you use Import SOP files, we temporarily process the original file solely to extract the text/metadata needed for AI features. The original file is deleted immediately after extraction completes. No copies of the original file or extracted data are kept outside your workspace; we keep no backups or logs of the originals.

• The extracted information from the import files, create SOP and generate SOP is private and secured, and is only accessible to you and your organization members according to role-based permissions set by you or your admins. We do not sell or share this data with third-party apps or anyone else, and we do not use your SOP content to train third-party foundation models.

Retention & deletion

If you’re an owner/admin, you can delete an organization in-app (Organization Settings → Delete Organization). Deletion is immediate and irreversible. We permanently delete the organization and retain nothing. This covers everything tied to that workspace, including: the organization name and IDs; the member roster and roles (names/emails as stored for that org); SOPs created in the app; imported files and any extracted text/metadata; search indexes/embeddings; and any usage/audit logs associated with the organization.

If you delete an individual SOP that was created inside the app, we immediately and irreversibly delete that SOP and retain nothing


Subscriptions & Billing (Apple In-App Purchase):

SOPX Pro is billed as an auto-renewable subscription via Apple. Payment is processed by Apple; we receive only purchase receipts and entitlement status (no full card details). Subscriptions renew automatically at the end of each period unless you cancel at least 24 hours before renewal. You can change or cancel at any time on your Apple device. Deleting your SOPX account does not cancel your Apple subscription; cancel in Apple settings. Refunds (where eligible) are handled by Apple. We store only your subscription status and related entitlement metadata to operate your account.


No tracking across apps

We do not track you across apps and websites owned by other companies and do not use your data for cross-context behavioral advertising.


Children’s privacy

SOPX is intended for business users and is not directed to children. We do not knowingly collect personal data from children under 13 (or under 16 where applicable).


Third-Party Service Providers

To operate SOPX and provide you with our services, we rely on certain third-party providers who process data on our behalf. We ensure these parties are contractually obligated to protect your information and only use it for the specific purposes we define.


Data Storage and Infrastructure

Your SOP content (i.e., imported file text/metadata, created SOPs, organization data) and account information are stored on secure, industry-leading cloud infrastructure, such as Google Cloud Platform. This processing is solely for the purpose of running and providing the SOPX service to you and your organization.


Data Security

We are committed to protecting the integrity and security of your personal information and your organization’s SOP content. We implement reasonable technical, administrative, and physical security measures designed to protect information from loss, misuse, and unauthorized access, disclosure, alteration, and destruction.

These measures include using access controls, and internal policies designed to limit unauthorized access to your information.

However, please be aware that no security system is impenetrable. We cannot guarantee the absolute security of our databases, nor can we guarantee that the information you supply will not be intercepted while being transmitted over the internet. You use SOPX at your own risk.

By using our service, you acknowledge that you understand and agree to assume these risks. Should we become aware of a security breach involving your personal information, we will notify you in accordance with applicable legal requirements.


Your Rights and Choices

1. Right to Access (Know)

You have the right to request access to the personal information we hold about you, including the categories of data we have collected, the sources of that data, and the business purpose for collecting it.

2. Right to Rectification (Correction)

You have the right to request that we correct any inaccurate or incomplete personal information we maintain about you. You can typically update your name and email within the app’s account settings.

3. Right to Erasure (Deletion)

You have the right to request the deletion of your personal information.

• For SOPX, we have provided an immediate, irreversible, in-app deletion process. You can delete your personal information and all associated content using the Delete Account function within the app's settings.

• For organization-specific content, admins can delete the organization and all its data via Organization Settings → Delete Organization.

4. Right to Restrict Processing

You have the right to request that we limit the way we use your personal information. Since SOPX limits its collection and usage strictly to the core functionality of the service (as described in this policy), we already adhere to the principle of data minimization.

5. Right to Data Portability

You have the right to request a copy of the personal information you have provided to us in a commonly used, machine-readable format.


Changes to this policy

We may update this policy; we’ll post the new date.
